Program Associate: Kaiser Media Fellowships in Health

LOCATION:          Menlo Park, CA
STATUS:              Full-Time, Exempt
SUPERVISOR:      Executive Director, Kaiser Media Fellowships in Health

POSITION SUMMARY: 

This position works closely with the Executive Director in the planning and administration of the Foundation's U.S. health journalism education/development programs—the Kaiser Media Fellowships and Internships programs—and all related health journalism projects. The program associate will be heavily involved in out of town program meetings and site visits requiring travel at regular intervals throughout the year mostly within the U.S.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Take primary responsibility for the planning and logistics of five or more annual program meetings and site visits at locations across the U.S. including hotel accommodations, meals, local transportation and participants’ travel; oversee day-to-day details of site visit and meeting arrangements; assist in identifying local speakers;

  • Research topics for annual program meetings and profiles of key presenters and provide background information on the fellowship program and the Foundation to speakers and communications staff; work with external PR/communications staff to set-up appropriate presentations;

  • Investigate current health care issues to assist in determining site visit locations, and research media and academic reporting on site visit health topics;

  • Organize participation in, and event-related logistics for, 1-2 journalism conferences for the internships program; identify new topics and presenters, contact speakers, schedule and prepare briefing materials and collect internship clips;

  • Manage marketing and publications related to the program, including the creation and design of program art-work, printing and distribution of program brochures and publications, and create and track an insertion schedule with publication contacts for program advertisements;

  • Update program information on the Kaiser Family Foundation website, and work with journalists and web designers to determine web content; maintain information on the Fellowship program web page within the site, updating articles, conference information, application instructions and deadlines;

  • Assist with budget management for all programs and related projects;

  • Manage database entries for all program participants and other people associated with the programs;

  • Assist Executive Director in screening and responding to all inquiries from journalists interested in applying for the programs; oversee fellowship and internship application processes, including responding to inquiries, screening applications and arranging interviews; and

  • Establish a professional working relationship with all the journalists participating in the programs, especially the fellows, advisory committee members, and interns; and help maintain the growing network of former fellows and interns; research and maintain contact with journalists interested in future programs.

SPECIFIC TYPES OF KNOWLEDGE, SKILL & EXPERIENCE REQUIRED

  • Strong interest in journalism and in public health, health financing and health policy issues;
  • Strong communication and interpersonal skills;
  • Excellent organizational skills, with an ability to juggle conflicting tasks and priorities;
  • An obsessive attention to details;
  • Ability to travel for work within the U.S. for lengths of time;
  • A high level of proficiency in word processing, tables and graphs, including knowledge of Microsoft Office (PowerPoint, Excel & Word).  Familiarity with Epiphany database software preferred.  Ability to search the Internet.  Other graphics proficiency helpful (Adobe InDesign);
  • Priority will be given to candidates with substantive knowledge of U.S. health policy issues, and/or journalism/newsroom issues;
  • Fluency in Spanish preferred; and
  • Bachelor’s degree, preferably in a related field.
